Intuit Wellbeing is operated by Fiona as a sole trader in Sydney, New South Wales, Australia.

In this Privacy Policy, "Intuit Wellbeing," "we," "us" and "our" means Fiona's business, Intuit Wellbeing.
We provide online integrative counselling and complementary therapeutic support for adults aged 18 and over.

This Privacy Policy explains how we collect, use, store, protect and disclose personal information, including sensitive information and health information. Because this work can involve personal, emotional and health-related information, we take your privacy seriously and handle your information with care.

 

Intuit Wellbeing is bound by the Australian Privacy Principles under the Privacy Act 1988 (Cth). Fiona also follows relevant confidentiality and ethical obligations as an ACA registered counsellor and IICT Premier Member.


By contacting Intuit Wellbeing, using this website, booking a discovery call or using our services, you consent to your information being handled as described in this Privacy Policy.

2. The Information We Collect

When you make an enquiry, complete an intake form, book a session or begin working with Intuit Wellbeing, we may collect:

  • your name, email address and phone number

  • booking details and enquiry form messages

  • intake form responses, including background, goals, medical history and mental health history

  • information you choose to share during sessions

  • session notes

  • payment and billing information

  • emergency contact details

  • your current physical location, for safety purposes during online sessions

  • for NDIS participants, your NDIS number, plan type, plan dates, funding category and plan manager details

  • website usage and analytics information


Some of this is sensitive information or health information under Australian privacy law.

We only collect this information with your consent and where it is reasonably needed to provide services, manage safety, meet professional obligations, process payments, manage NDIS billing where relevant, or administer Intuit Wellbeing.


Please avoid including highly sensitive personal details in website enquiry forms. More detailed information can be provided through the intake process after booking.

 

3. How We Collect Your Information

Most information is collected directly from you through:

  • website contact or enquiry forms

  • Google Calendar when you book a discovery call

  • email correspondence

  • intake, consent and service agreement forms

  • online sessions through Google Meet

  • payment or invoicing processes


In limited circumstances, we may receive information from another person or organisation, such as a plan manager, support coordinator, referring practitioner or emergency contact. This will only occur where appropriate and with consent where required.

 

4. How We Use Your Information

We use your information to:

  • respond to enquiries

  • assess whether services may be suitable for you

  • book and manage appointments

  • prepare for sessions and review intake forms

  • provide counselling and complementary therapeutic support

  • keep appropriate session notes for continuity of care

  • manage safety, risk and emergency contact requirements

  • issue invoices and receipts

  • process NDIS and plan manager billing where relevant

  • meet professional, ethical, legal and insurance obligations

  • respond to complaints, access requests or legal requirements

  • maintain and improve website and service administration


We do not use your information for marketing without your consent.

Administrative, appointment, payment and client care emails are not marketing emails.

 

5. When We Share Your Information

What you share is treated as private and confidential.

We will not disclose your personal information without your consent, except where disclosure is required or permitted by law, professional obligations or safety needs. This may include:

  • where there is a serious risk of harm to you or another person

  • where there is a reasonable suspicion of child abuse, neglect or another mandatory reporting concern

  • where required by law, court order, subpoena or legal process

  • where disclosure is necessary to protect someone's safety

  • to your nominated plan manager for NDIS billing purposes, with your consent

  • to an emergency contact where a safety concern requires it

  • to a GP, emergency service or other professional, where appropriate and with consent where possible

  • in professional supervision, using de-identified information where possible

  • to insurers, legal advisers or professional advisers if genuinely necessary

  • to trusted service providers who help operate the website, booking, communication, record keeping, payment or administration systems


Wherever it is safe and appropriate to do so, Fiona will make reasonable efforts to discuss the situation with you before disclosing information.

 

6. Professional Supervision

As part of ethical and professional practice, Fiona participates in regular professional supervision.

Fiona may discuss client material in supervision for reflective, ethical and professional development purposes.

Where possible, identifying details are removed or generalised. Supervision supports safe, ethical and high-quality practice.

 

7. Third-Party Platforms

Intuit Wellbeing uses a small number of third-party platforms to operate the website, manage bookings, communicate with clients, deliver online sessions, store documents and process payments. These may include:

  • Wix for website hosting, website forms and website analytics

  • Google Workspace, including Gmail, Google Calendar, Google Meet and Google Drive, for email, booking, online sessions and document storage

  • Google Analytics for website analytics

  • PayID and direct bank transfer for payments

  • practice management software, such as Halaxy, if adopted in the future

  • accounting, invoicing or administrative tools where needed

  • NDIS plan managers, where relevant and with consent


Some third-party providers may store or process information outside Australia.

We take reasonable steps to use reputable providers and protect your information, but we do not control the privacy practices of every external provider. You may wish to review the privacy policies of the platforms you use to interact with Intuit Wellbeing.

 

8. Safety and Emergency Contact Information

For online sessions, Fiona may ask you to provide your current physical location and an emergency contact.

This is collected for safety purposes, particularly where there may be a risk of harm, medical emergency, severe distress or another situation where urgent support may be needed.


If you attend a session from a different location than usual, Fiona may ask you to confirm your current physical location at the start of that session. Clients based outside Australia must provide a local emergency contact before sessions begin.

9. Overseas Clients

Intuit Wellbeing is based in Australia and provides online services from Australia.

If you are based outside Australia, please enquire before booking so Fiona can consider whether online support is appropriate for your location, circumstances, safety needs and time zone. If Intuit Wellbeing agrees to work with you, services are provided under Australian jurisdiction. Before sessions begin, Fiona will ask you to confirm that you understand this and to provide a local emergency contact.

10. How Your Information Is Stored and Protected

We take reasonable steps to protect your information from misuse, interference, loss, unauthorised access, modification or disclosure. This may include password-protected devices and accounts, access limits, secure platforms, careful file management and appropriate administrative procedures.

 

Client records may be stored in password-protected electronic files, secure cloud storage, email systems, PDF or Word documents, practice management software if adopted, or other secure record-keeping systems used by Intuit Wellbeing.

Please note that email, online forms and video calls are not entirely risk-free forms of communication. While we take reasonable precautions, electronic communication carries some inherent risk. No method of electronic storage or internet transmission is completely secure, but we take privacy and confidentiality seriously.

11. How Long We Keep Your Records

Client records are generally kept for at least seven years from the date of last contact, or longer where required by law, insurance, professional obligations, dispute management or other legitimate reasons.

At this time, Intuit Wellbeing provides services to adults aged 18 and over only. If services are ever provided to a younger person in the future, records may be kept until at least seven years after they turn 18, or longer if required.

When records are no longer required, we take reasonable steps to securely destroy or de-identify them.

12. Testimonials

Testimonials published on the website are used only with written permission. Identifying details may be withheld or generalised to protect client privacy.


Testimonials reflect individual experiences. Experiences and outcomes vary, and no particular result can be guaranteed.

You may withdraw consent for future use of a testimonial at any time by contacting admin@intuitwellbeing.com.au.

 

13. Your Rights

You can ask to:

  • access the personal information we hold about you

  • correct information that is inaccurate, incomplete or out of date

  • ask how your information is used

  • make a privacy complaint

We may need to verify your identity before responding. We aim to respond within 30 days.

In some situations, access may be limited or refused where the law allows, such as where access could affect safety, another person's privacy, confidentiality or legal proceedings.

 

14. If Something Goes Wrong

If a data breach occurs, Intuit Wellbeing will take reasonable steps to assess, contain and respond to it.

If the breach is likely to cause serious harm, we will notify affected people and the Office of the Australian Information Commissioner where required.

If you believe your information has been mishandled, please contact us first at admin@intuitwellbeing.com.au. This gives us the opportunity to review and respond.

15. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practice, technology, platforms or legal obligations. The current version will be published on this page with an updated date.
